Overview
Floify's Task Management feature allows companies to create and assign different user roles in a lending team (processor, LOA, closer, etc.). This is a time saver for non-standard users and will provide the base for more efficient workflows.
Some sample use cases for Task Management:
- When a loan flow is created, automatically assign to an LOA
- When the Application Complete milestone is checked off, automatically assign to a processor
- When paystubs, credit report, and bank statements go to 'Docs Pending Review', automatically assign to an underwriter
- When the Closing Disclosure goes to 'Docs Owed', automatically assign to a closer
- When custom LOS-synced field "credit score" is lower than 600, automatically assign to an underwriter that specializes in low credit score borrowers
- When the loan type field is "refinance", automatically assign to a processor that focuses on refinances

How to Set Up and Use
Set Up Roles from the Company Settings on your Company Dashboard
A company admin will need to enable and create user roles through the following steps.
From the team pipeline, choose the team name in the upper right-hand corner and select the option to navigate to the Company Dashboard:
Navigate to Company Settings and select User Roles. From here, select Edit User Roles:
Here, you can create user roles, manage those roles, and enable or disable this feature by selecting the checkbox next to Enable user roles:
Assign Roles to Users
From the Company Dashboard Home Page, select the Users tab:
Select the Assign a user role icon:
Select the role(s) to apply to the user and Save:
You are all set to use the Task Management tool in Floify!
Flow Assignments
To set a flow assignment, navigate to the team and loan that has the borrower you want to add a user to, then select the Edit Loan Flow action icon:
In the Edit Loan Flow interface, navigate to Flow Assignment:
Here, you can set any user roles you have for a specific loan flow, and can add as many options as you have processors. Use the drop downs to select the user, like so:
Make sure to save the changes made. Now the Loan Flow will be assigned to the users selected, and will show up for them in the Assigned to Me Dashboard.
Accessing your Assigned to Me Dashboard
To access your Assigned to Me Dashboard, click on your team dashboard in the top right hand corner:
You will see the roles assigned to your user account, and can choose to go to your Assigned To Me Dashboard:
Once there, you can see all Loan Flows you are assigned to, and can also choose to make this dashboard your default dashboard:
Any Loan Flow assigned to a user will automatically add that user to the flow's Activity Notices.
Creating, Editing, and Deleting Automatic Loan Flow Assignment Rules
In the team settings, navigate to Settings > Customizations:
In the Loan Flow Assignment Rules section, select the option to Access Loan Flow Assignment Rules:
To add a new rule, select the Add a rule option:
Select which role you'd like to create a rule for. Select Next:
Choose which user you'd like to select as the default for the rule:
Choose what triggers loan flows to be assigned to the specific user and role. Make sure you select Save to confirm your changes:
Note: This can be triggered off of a loan flow starting, milestones, template documents, disclosures, and custom fields.
Moving forward, the loan flow will automatically be assigned to that user based on the trigger selected.
Select the Edit Assignment Roles option to edit an existing rule:
Make any adjustments you need to your rule. Make sure you select Save to confirm your changes:
To delete an existing rule, select the trash can icon towards the right of the assignment rule name:
Confirm the deletion by selecting the Confirm option:
